Administrative Assistant
  • High school diploma or equivalent qualifications in office administration. 
  • Proven experience as an administrative assistant.
  • Proficient in MS Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Attention to detail and accuracy in handling administrative tasks.
  • Ability to maintain confidentiality and exercise discretion when dealing with sensitive information.
  • Proactive and resourceful approach to problem-solving.
  • Ability to work both independently and collaboratively in a team environment.
Job Description:
  • Perform general administrative duties such as managing phone calls, emails, and correspondence.
  • Maintain office supplies and equipment, ensuring their availability and functionality.
  • Assist in organizing meetings, conferences, and events, including scheduling, logistics, and documentation.
  • Prepare and distribute internal communications, reports, and presentations.
  • Support the HR department with tasks such as maintaining employee records, coordinating recruitment processes, and assisting with onboarding activities.
  • Assist with basic financial tasks, such as processing invoices, expense reports, and budget tracking.
  • Conduct research, compile data, and assist in the preparation of various documents and reports.
  • Maintain confidentiality and handle sensitive information with professionalism and integrity.
  • Collaborate with team members to ensure smooth workflow and contribute to a positive work environment.

Project Manager - Organizational Level
  • Bachelor’s degree in any field.
  • Great communicator. You have excellent oral and written communication.
  • Detail oriented. You are meticulously attentive to details, and accurately keep track of all the moving parts.
  • Service-driven. You are self-confident and assertive when appropriate, approachable, and responsive to all requests, even if it is a polite “No”.
  • Organizational agility. You have a collaborative work style and are able to work across departments to get the results and support you need.
  • Experience in managing projects and organizational development experience is a plus. At least 1-4 years of relevant experience as a project manager or project leader.
  • Project Management Professional Certification Program (PMP) certification is useful but not necessary.
Job Description:
  • Project Oversight and Accountability:
    • Meticulously monitoring progress to ensure that deadlines are met and delivered on time
    • Review and oversee the submission of reports, proposals, statements of works and budgets for completeness, accuracy and appropriateness from the consultant and within deadlines to donor.
  • Stakeholder Engagement and Collaboration
    • Work closely with senior leadership and understanding and respecting the hierarchies.
    • Ensure senior leadership are up to date on the progress.
    • Proactively follow-up with team members on deliverables
  • Documentation and Data Management
    • Responsible for maintaining a well-organized data repository for all project documentation.
    • Prepare first draft technical and strategic documents as required for the organizational development grant.
    • Coordinate routine technical and operational meetings, record minutes/decision points (in writing or on video as pre-decided).
  • Risk Management and Performance Evaluation
    • Measure project performance using appropriate systems, tools and techniques to manage changes in project scope, schedule, and costs.
    • Adapt to changes in project scope, schedule, and costs while ensuring successful outcomes.
